Description of the Foundation

As the mandate of the 27th Governor General of Canada (2005-2010) ended, the Fondation Michaëlle Jean Foundation (FMJF) was established with the support of the Government of Canada. The Foundation responds to the request of marginalized and underserved young Canadians and their communities with the support of many relevant organizations and institutions across the country. The vision of the Right Honourable Michaëlle Jean and her husband, Jean-Daniel Lafond is to offer programs and platforms to underserved youth across the country that are active participants in developing and implementing solutions to challenges in their communities. Headquartered in Ottawa, the Fondation Michaëlle Jean Foundation catalyzes social change. Through its programs, FMJF supports inclusive youth initiatives and organizations nationwide, leveraging arts, education, and entrepreneurship as tools to create new solutions to pressing social issues and create opportunities for inclusive and constructive dialogues. The Foundation regularly partners with youth-led and youth-driven grassroots organizations to understand their needs and identify the areas in which FMJF can support and accompany them. The Fondation Michaëlle Jean Foundation has supported 1,000,000+ youth to date through its programs, partnerships and initiatives.

Role description

  • The Fondation Michaëlle Jean Foundation (FMJF) seeks a fluently bilingual Administrative and Operations Coordinator to plan and execute the Foundation’s administrative and financial activities.
  • The coordinator will be responsible for financial record keeping, accounts payable and receivable and producing financial reports. The coordinator will process donations and issue charitable tax receipts. Knowledge of charitable organizations and their financial responsibilities is considered an asset. The coordinator will work closely with the Executive Director and bookkeeper on the financial stewardship of the organization.
  • The coordinator will be responsible for performing general administrative duties such as filing, drafting correspondence and scheduling.  Operational requirements including managing phone/internet service providers and other suppliers.
  • The coordinator plans and coordinates Board and Board Committee meetings, taking minutes and tracking follow up items. Passionate about information management, the coordinator leads by example in implementing best practices in documenting, filing and archiving.
  • This position welcomes an individual who is highly organized, self-directed, proactive and is an excellent problem solver.

Qualifications

  • A post-secondary degree, diploma or certificate in administration or finance, and/or 3 years minimum experience in a similar administrative role reporting directly to senior management. Experience in a charitable organization is an asset.
  • Very strong administrative skills, information management, financial analysis, organizational skills and excellent time management; detail oriented.
  • Strong communications skills, confident in speaking with financial stakeholders by phone and by email.
  • Exceptional interpersonal skills and exemplary professional attitude. Demonstrated discretion and confidentiality.
  • Excellent knowledge of MS Office. Knowledge of fundraising databases/CRM systems an asset.
  • Proficiency in oral and written communications in both official languages.
